Looking at alternatives to Every? Read this first.

Schools and trusts usually start this search for one of three reasons: a 36 or 60-month auto-renewing contract that's harder to leave than it was to sign; module-by-module pricing that grows each time you need another capability; or the realisation that years of compliance evidence live on someone else's platform. This page compares EstateProof with Every honestly, sourced from Every's public pages and quotes we hold, dated, and including the places where Every is genuinely strong. Every is a well-established product; if this page ever reads like a hatchet job, we've failed our own standard.

Why the search starts

The contract. Every sells on 36 or 60-month terms that auto-renew. That's not wicked, it's a business model, but it means the decision you're making today binds the estates budget for three to five years, and leaving requires diary discipline most school offices don't have spare. EstateProof is annual, no auto-rollover, sixty days' notice.

The modules. Every is a suite of separately priced modules (Business Management, Asset, Policy, Condition and others), so the price you start with is rarely the price you end with once the capabilities you actually need are added. EstateProof is one product in three cumulative tiers, published, with unlimited users on everything.

The data. Every is a hosted platform: your work orders, certificates, photos and compliance evidence live in their database, and when you leave, you export what you can and rebuild. EstateProof writes everything into your own Microsoft 365 tenant: cancel tomorrow and you lose the app, not the data. It was never ours to hold.

Where Every is genuinely strong

Every's suite is broader than estates: separately priced modules across school business management, and compliance data connected within its own suite, credit where due. It's an established product with real scale in the sector. If your trust leans on those wider modules, replacing Every means replacing more than an estates system, and this comparison should be read with that in mind.

Price, with the games taken out

Every's pricing starts from a G-Cloud list price and is then "discounted" deal by deal, so the fair comparison is scenarios, not adverts. Every figures below are from quotes on file (four-module bundle); EstateProof figures are our published prices.

ScenarioEstateProof GoldEvery (quotes on file)
1 school£1,595a year£1,526list, one module
5-school MAT£6,975a yearabout £9,500a year
9-school federation£12,555a year£19,140a year
20-school trust£23,000a yearabout £45,650a year

At a single school on list prices the two are close: one Every module against the whole of Gold. From there the gap widens: £6,585 a year lower at nine schools, roughly £22,650 lower at twenty, with AI triage, automatic inspection-to-job workflow and unlimited users in every EstateProof figure. Put your own estate into the calculator and see your number next to the comparators.

What switching actually involves

Leaving any platform means exporting your data at exit: that part is Every's process. Bringing it into EstateProof is ours, and it's deliberately unexciting: sites, contractors, assets and open jobs load through the built-in import tools: validated spreadsheet imports with a preview screen, so nothing is written until it's right. A school is live with sites and contractors loaded; history and assets can follow in the weeks after. Setup, import help, a live launch session and the training library come as one Launch Credit for the whole trust, free with Gold and Platinum.

And because every record lands in your own Microsoft 365 tenant, this is the last migration of its kind you'll do. Whatever you choose in five years, the evidence stays exactly where it always was: a point we'd encourage you to raise with every vendor on the shortlist, in writing. The full architecture case is in our guide to estates management software for schools.

Questions buyers actually ask

Is EstateProof a direct alternative to Every?

For the estates side, yes: work orders, planned and statutory maintenance, compliance, inspections, contractors and trust dashboards are covered like for like, with AI email and photo triage and a board-pack governance layer that aren't in Every's bundle. Every's wider suite includes separately priced modules beyond estates; if you rely on those, factor that into the comparison.

What does switching from Every involve?

Export your data from Every at exit, then load sites, assets, contractors and open jobs through EstateProof's built-in import tools: validated spreadsheet imports with a preview before anything is written. Because everything lands in your own Microsoft 365 tenant, it's the last migration of its kind: leave EstateProof one day and the records simply stay where they already are.

How do the contracts compare?

Every sells on 36 or 60-month auto-renewing contracts. EstateProof is annual, with no auto-rollover and sixty days' notice to leave, because when your data lives in your own tenant, the vendor has to earn the renewal rather than engineer it.

Is EstateProof cheaper than Every?

On the quotes we hold, materially, and the gap widens with scale: against Every's four-module bundle, EstateProof Gold works out around £6,585 a year lower for a nine-school trust and roughly £22,650 lower at twenty schools, with AI triage and automatic inspection-to-job workflow included. Single-school list prices are closer. Run your own numbers in the pricing calculator; our prices are published.

What would we lose by leaving Every?

In fairness: Every's suite is broader than estates: it sells separately priced modules across school business management, and it connects compliance data within its own suite. If your trust uses those wider modules, replacing Every means replacing more than an estates system. If the estates and compliance workload is the job, the comparison is like for like.
