Five apps that share one set of records

Your team only ever sees the app built for them. Everything is written into your own SharePoint, on your tenant.

Manage

FM Hub, the command centre

One queue for every request, however it arrives: email, Teams, the staff app or an inspection. Assign work to in-house staff or contractors, track it through to sign-off, and run planned and statutory maintenance so nothing lapses.

  • Emails and Teams messages are read and drafted into work orders automatically, and your site manager confirms before anything becomes a job.
  • Dual assignment lets a contractor fix the fault while a site team member provides access.
  • Planned maintenance raises its own jobs ahead of the due date.

Site Team, for your site staff

Their jobs, on their phone. Start, complete, add before and after photos. If a job turns out to need a contractor, one tap sends it back to the site manager with a note.

  • Reactive jobs and planned inspections sit in separate tabs, so statutory work is never confused with day-to-day repairs.
  • Take photos straight from the job. They file into your SharePoint against the record.
  • Works offline, then syncs when back in signal.

Report

Requester, for everyone else

Any member of staff reports a fault in seconds by app, Teams or email, with a photo and a location. They see the progress of their own requests in plain language (received, picked up, in progress, done) and nothing internal.

  • Nothing to train, just one big "Report a fault" button.
  • Location and category chosen from your own lists, so triage barely needs the AI.
  • It cannot show internal detail, because nothing internal exists in the app to leak.

InspectProof · Gold

Inspect, statutory inspections done properly

Templated Yes/No/N/A checklists for fire doors, gas, electrical, water temperatures, emergency lighting, play equipment and whatever else you run. A failed item automatically raises a defect job, with a photo and a risk rating, straight into the site manager's queue.

  • An inspection produces auditable, item-by-item evidence, not just a signature.
  • Communal-only templates only offer the right areas.
  • Included with Gold.

The safety layer: asbestos, plans and risk assessments, in front of the work

Serious harm in buildings rarely comes from the fault itself — it comes from someone starting work without the information that was sitting in a folder somewhere. The safety layer puts that information on the job.

  • Asbestos registers, connected. Your register is loaded into the system, so anyone raising or doing work sees the entry for that location before they start — and jobs in affected areas stay locked until the warning is acknowledged and authorised.
  • Built-in floor plans. Faults, assets and inspection points pinned to your own floor plans, so the job shows where, not just what.
  • Work-linked risk assessments. The relevant risk assessments and procedures attach to the job itself, in front of the person doing the work, with a "read before starting" extract per hazard.

Govern

Leadership Dashboard, for senior leaders

A read-only view across the whole estate: compliance rates, overdue jobs by site, and contractor insurance, accreditation and DBS status. Governance ready, no digging required.

  • See at a glance which sites have a P1, an overdue job or a lapsing certificate.
  • Contractor insurance and accreditation expiries surfaced before they lapse.
  • Read-only, so it is a safe view for senior leaders.

The essentials, done properly

Mobile & offline

Works on any device, in any basement or boiler room. Records sync the moment you're back in signal.

Photos & documents

Attach evidence in-app; it lands straight into your SharePoint against the record.

Teams & email

Notifications, approvals and overdue alerts land where your team already works.

AI request triage

Inbound emails and Teams messages are drafted into work orders for your FM to confirm.

You administer it

Sites, locations, contractors, schedules and inspection templates are all editable by your site manager, no developer needed.

Your tenant, your data

Everything is written into your own Microsoft 365. We host the apps; we never hold your data.

In development · GovernanceProof · the Platinum tier

A board portal that can see your buildings

A secure portal for your board, trustees and committees — with every document held in your own Microsoft 365 tenant, and live estate data on the board dashboard. The top tier of the suite: GovernanceProof comes with Platinum. The build is past the paper stage — the platform already runs in a live Microsoft 365 environment, with external members signing in as secure guests.

Meeting packs in minutes

Attach papers to agenda items and compile the lot into one paginated PDF at the press of a button.

Approvals with e-signatures

Approve-and-sign on the papers that need a decision, timestamped against the exact version approved.

Policies that publish themselves

Owners, review cycles and approval routes — an approved policy publishes to your website automatically.

Records that build themselves

Attendance, declarations, training and terms of office accumulate as you work, exportable as audit-ready evidence.

Your board, your words

Governors, Trustees, Directors or Board members — every label and committee structure is configurable.

External members, no licences

Outside members sign in as secure Microsoft guests. No M365 licence, no per-user fees.

Also in development

The suite keeps growing, your price doesn't

Every new development is included in your subscription and rolled out free to every client within two weeks of release. Alongside GovernanceProof, two more are in build now.

In development

Interactive, live BCP planning

Business continuity plans that live where your estate data lives, instead of in a binder. Plans built around your actual sites, contacts and contractors, kept current by the system — so when the boiler fails or a block floods, the plan on screen matches the estate as it is today.

In development

Condition surveying

A survey companion for walking the estate: grade each element A–D, capture photos, record the defect, the remedial works and the estimated cost, and set the recommended year — uploading straight into your SharePoint. Condition data lands in the same records as everything else, so the maintenance plan writes itself from the survey.

See it running on a stack like yours

About 30 minutes, no hard sell.

Quickest way to judge it: click around the live demo.

A fictional four-school trust with realistic jobs, inspections and compliance data. No sign-in, nothing to install.
